Title: Department: Section: Number: Offer Letters HR Employment HR-EMP 7 STANDARD OPERATING PROCEDURES Effective Date: 7/10/15 PURPOSE: The purpose of this policy is to ensure consistency in the documentation and communication of employment offers for exempt (i.e. management) positions. PROCEDURES: 1. Employment Offer Letters will be issued to all candidates being hired, transferred or promoted into exempt (management) positions. The property Human Resources Representative or General Manager will prepare all Offer Letters. This policy applies to new hires, as well as current employees of Prism Hotels & Resorts who are being transferred or promoted into management positions. 2. The VP of Operations should approve all exempt (management) offers before offers of employment are extended. 3. Employment Offer Letters are encouraged for non-exempt (hourly) positions but not required. 4. Sample offer letter templates are available as part of the Offer Letters SOP. 5. Offer Letters will be mailed to candidates’ homes and a copied maintained with the employment application. Candidates are required to sign their Letter as acceptance of the offer. Failure to sign the Letter may nullify the offer. 6. Signed Offer Letters will be retained by the property in the manager’s personnel file. 1
