This list represents the most frequently asked questions about the transition to VAOS for TVFC/ASN providers.

Category Question Answers
Doses Administered Will doses administered for TVFC/ASN vaccines need to be reported in VAOS and ImmTrac2? How often do you have C5:D49to enter doses administered? While COVID doses administered can be reported to ImmTrac2, you must report TVFC/ASN doses administered in VAOS in addition to ImmTrac2. You must self-report doses administered in VAOS - a summary of the number of doses administered per lot number. Providers can report and order at any time of the month and numerous times per month.
Doses Administered Will doses administered be reported monthly or daily? Doses administered must be reported monthly or whenever you place an order.
RE Actions If providers do not send their monthly reports to their RE, how will the RE know that a report has been submitted? REs will be able to view the uploaded temp logs in VAOS to confirm they are uploaded correctly.
Reports Will providers still be able to print out the C-33 form and the physical and tally sheets? Yes, we are working on including those sheets in VAOS currently.
Reports Is there an option to print out paper biological forms prior to an order? Yes.
Reports What is the due date to submit monthly report? The monthly report is still due the 5th of every month per programmatic requirements.
Syntropi/Enrollment At our provider facility, there are two different teams managing COVID-19 and TVFC/ASN. How can our facility mitigate this for a single TVFC/ASN PIN? Providers will continue to have only two user accounts for VAOS overall (primary & secondary coordinator). Therefore, the primary & secondary coordinators who use VAOS for TVFC/ASN vaccines should be the same for COVID-19 vaccines. Some providers may need to change their coordinators for either TVFC/ASN or COVID-19 vaccines when they begin to use VAOS for both COVID & non-COVID vaccines. CDC's vaccine ordering system (Vtrcks) mandates that our systems have the same coordinators listed for COVID and TVFC. Because a provider can only have one profile in Vtrcks, they can only have one PIN. Therefore, we are unable to split ordering for TVFC/ASN and COVID-19.
Syntropi/Enrollment If I am a COVID-19 vaccine provider, will I use the same username and login password for TVFC/ASN vaccine ordering? Providers: if a provider is a COVID provider AND a TVFC/ASN provider, their log in credientials will be the same in VAOS when the system is live in early 2022. REs: if you are a primary or secondary provider for COVID and a TVFC/ASN provider, you will have separate log ins. REs: if you are an RE for COVID and an RE for TVFC/ASN, you will have one set of log in credientials to view all the provider accounts you are responsible for.
Syntropi/Enrollment Will we have the same pin for our VAOS login credentials as we did in EVI? Your 6 digit pin will be the same; however, your pin will no longer be your username. Your VAOS username will be new and specific to the individual and not to the facility.
Temperature Logs Will REs be able to upload temperature logs for providers, if needed? Yes.
Temperature Logs Do providers have to upload your temp log every time you order, or just once a month? We place multiple orders in a month. Temp logs should be uploaded every time you place an order, even if you just uploaded one for a recent order.
TVFC/ASN VAOS 101 What is the purpose of switching from EVI to VAOS? Beginning in Fall 2021, TVFC and ASN providers will transition to using the Vaccine Allocation & Ordering System (VAOS) to order and manage TVFC/ASN vaccines. VAOS is the system through which 1,700+ Texas vaccine providers already order and manage COVID-19 vaccines. The transition from EVI to VAOS will consolidate systems, enhance overall user experience, and give providers better acces to their vaccine data.

TVFC/ASN VAOS 101 Can there be more than one back-up coordinator at a site? Only one back-up coordinator per site is allowed; however, more people can be trained to assist in the program per the providers' discretion.
Vaccine Ordering Will providers still order vaccines monthly, or will they be able to order as often as they choose? Providers will be able to order vaccines as often as they choose. Please note reporting will have to be up to date prior to placing any order, regardless of the time of the month.
Vaccine Ordering How will providers order vaccines in VAOS? The reporting requirements as stated in the DSHS provider manual are still the same: reconcilling inventory, submitting doses administered, completing vaccines transfers, receiving orders in their electronic inventory, uploading temperature logs, and reporting waste. The key change in the vaccine ordering process will be the different system flow in the Ordering Wizard, which we did our best to design as intuitively as possible. Vaccine Waste Will we need to report waste on a daily basis? No, only at the time of waste.

Syntropi/Enrollment We have done re-enrollment, but I'm still pending approval. How long does it take? Enrollments/Re-Enrollments are currently being reviewed and will be approved shortly. The primary and secondary listed on the account will receive an email confirmation with the details once approved.
TVFC/ASN VAOS 101 What are the 2022 EVI Transition Dates? January 13th is the ordering cut off in EVI, January 31st is the last day for Re-Enrollment, February 2nd is the reporting cut off in EVI, and February 8th is the VAOS Go Live for NON-COVID.
TVFC/ASN VAOS 101 Will the VAOS sign in be the same as EVI? No, VAOS log in credentials will be diffferent from EVI's log in credentials.
