Sheet 1: Introduction
The URBACT III programme offers to interested project partners timesheet templates which can be used to record the time worked by the staff working on the implementation of the project. It is important to note that timesheets are not needed if the staff costs calculation can be based on fixed percentages. This file contains three worksheets, each dedicated to one of the different calculation methods requiring timesheets: - Calculation based on the contractual hours as indicated in the employment contract - Calculation based on dividing the latest documented annual gross employment costs by 1,720 (according to Article 68(2) of Regulation (EU) No 1303/2013) - Calculation based on contracts on an hourly basis The timesheet shall: - Be filled in separately for each employee involved in the project; - Contain information on a monthly basis about the total hours worked by the employee AND the hours worked specifically for the project; - State briefly the activities performed within the project (a template can be provided on request by the Joint Secretariat.); - In the case of part-time employment for the project: the timesheet must indicate activities performed outside the project (e.g. “work for another EU financed project”, “statutory tasks” etc.); - Be signed by the employee and his/her supervisor. For detailed information, please see the Programme Manual Factsheet 2F When using the timesheet models it is important to keep in mind that - project partners are free to use these timesheets, they serve as an example only and are not compulsory to use. In case project partner organisations use their own time registration system, they can be used as long as they comply with the programme rules. - in case of mistakes in the formulas in the provided timesheets, the programme authorities cannot be held liable. Finally, it is important to remind all partners that costs for project management (staff and external expertise combined) should not normally exceed 40% of the total project budget. |
