Communication timeline – briefing and template Include the ideas and tasks, as well as the stages for completion, that need to be undertaken in order to involve volunteers. The timeline template on the next page includes a shaded example. Based on the communication plan, summarise all the communication items that you need to cover, on a communication timeline. The table should include at least the following tasks/ideas. You will need to order these to suit preparation for your own event: publicity through boards or committees, general public, community meetings, media planning meetings with major stakeholders (for example, boards, committees, centres, sponsors, council, police) information to volunteers (using various media such as email, telephone, letters, TV, radio) including, information packs, public flyers, application packs, interview times, acceptance letters, training information the tools (for example, templates such as flyers, letters of offer, etc) and skills/strategies (for example, writing, designing, posting/mailing) that you will use at each stage people who will be responsible for completing each stage on your timeline.
